ROLE PURPOSE: 
The Receptionist is responsible for providing secretarial, clerical and administrative as well as protection related support in order to ensure that Save The Children services are provided in an effective and efficient manner in  Esenyurt Community Center in İstanbul. 

SCOPE OF ROLE: 
Reports to: 
Project Manager 

 

KEY AREAS OF ACCOUNTABILITY: 

Operational:
•    Responding to phone inquiries of beneficiaries calling the community center hot line, providing non protection information counselling
•    Conducting a preliminary interview for beneficiaries reporting a protection concern, getting the consent and reporting to protection coordinator for further action
•    Actively supporting information dissemination in the community especially for events of awareness raising/thematic information sessions
•    Promoting complaints mechanisms on the phone or face to face whenever beneficiaries report dissatisfaction with regard to services 
•    Staying up to date and alert with the protection environment in Esenyurt and report any concern/trend which may result in any right violation for beneficiaries
Administrative:
•    Maintains security by following security process and procedures; monitoring visitor logbook; issuing visitor badges in the community center
•    Answers questions about organization and provides callers with address, directions, and other information in the community center
•    Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries in the community center
•    Receives, sorts, and routes mail; maintains and routes publications.
•    Supervise Cleaners and handy man by ensuring maximum satisfaction of their delivered tasks
•    Monitor usage and maintain an adequate inventory of office supplies and office sundries
•    Coordinate the repair and maintenance of office assets and equipment i.e. air conditioners, printers, etc.
•    Prepares PR for travel, meeting, office stationery, office sundries, office maintenance, and/or any others related to office request.
•    Maintains safe and clean reception area.
•    Contributes to team effort by accomplishing related results as assigned by supervisor and/or line manager.


QUALIFICATIONS AND EXPERIENCE

Required 

•    Turkish nationality is a requirement for this position. 
•    1 year experience in Admin, Information dissemination and referral, preferably with NGO or INGO
•    Good interpersonal, communication and organizational skills
•    Friendly and helpful manner
•    Ability to stay calm under pressure
•    Ability to be polite but firm when dealing with difficult, impatient or upset people
•    Working knowledge of Microsoft Office package (WORDS, EXCEL (Mandatory), POWERPOINT)
•    Ability to follow safety and security procedures, and put them into effect
•    Ability to use office equipment such as printer, fax machines and photocopiers
•    Working level of English and fluent level of Turkish language in all aspects is mandatory, ability to communicate in Arabic is an advantage
•    Commitment to upholding Save the Children’s Child Safeguarding Policy, as well as principles of do no harm and confidentiality.

Desirable

•    Experience in working with NGOs
•    Experience in child focused projects or organisations
