Job Purpose:

Assist in planning, coordinating, and supervising the implementation of the project in Syria and ensure its implementation within the specified time, budget and quality.

Key Activities/Tasks/Duties

  • Assist in preparing the project implementation plan in cooperation with the Project Manager and the implementing team.
  • Assist in the recruitment, screening, selection, management, and evaluation of project team members.
  • Participate as required in project kick-off, closing, and project review meetings and ensure timely documentation and follow-up of action points.
  • Follow up on the implementation of projects and activities daily. This includes directing activities, avoiding mistakes, and receiving and submitting project reports.
  • Provide the project manager with the data and information required to prepare, develop, and review reports to be submitted to donors, with project management and department. This can include daily, weekly, quarterly, progressive, and final reports.
  • Lead the field team and follow up on the implementation of activities with them.
  • Communicate and coordinate with the field team and follow up on the implementation of activities with them.
  • Assist in follow-up with other departments regarding project activities.
  • Assist in the preparation of monthly implementation work plans and follow-up implementation with the field team.
  • Contribute to the implementation of the terms of the project agreement in coordination with the project management.
  • Contribute to the preparation of project proposals based on the technical and humanitarian needs assessment that is conducted by the field team.
  • Contribute to the achievement of project objectives and fulfillment of stipulated requirements through activities and means of implementing activities and is responsible for all other documents.
  • In coordination with the project management and the financial department, ensure that activities and expenditures are regularly monitored with the financial department and action plans are developed with follow-up as needed to correct any overspending or underspending in a timely manner.
  • Represent MARS and Programs Department and ensure effective participation in meetings and workshops with partners, donors, and other parties.
  • Full compliance with the general policy of the program department and the program department employee manual  and work in accordance with the specified conditions and procedures.
  • Follow up on managing communications, reporting and developing relationships with relevant groups.
  • Adhere to a zero-tolerance policy on PSEA issues, to which MARS adheres.
  • Adhere to community work standards (privacy and respect for teamwork).
  • Adhere to the Child Protection Code of Conduct.
  • Respect and apply all PSEA principles and demonstrate a strong commitment to report any exploitation or abuse that occurs within and outside the project activities.
  • Maintain the confidentiality of work and adhere to the ethics of humanitarian work and the principles of protection.
  • Adhere to the administrative controls and rules of MARS organization, and work in accordance with the policies governing the organization.
  • Continuous and permanent coordination with Program Department management, and commitment to attend periodic meetings and department-specific instructions and recommendations.
  • Upload project files and documents to the cloud drive (Drive).

Note: the above-mentioned key responsibilities/accountabilities are illustrative ones. Another future responsibilities/accountability may be assigned to the job depending on the department organizational chart.

Required Qualifications (Education/Languages/Work Experience)

- Essential:

  • Bachelor's degree in Education, Business Administration or any other university degree related to the project.
  • Work experience in civil society development and support projects.
  • Experience in supervising dialogue sessions, trainings and workshops.
  • Minimum two years' experience in a similar position.
  • Good level in English.
  • Intermediate level in Turkish.

- Desirable:

  • Master's degree in Education, Business Administration, or any other related field.
  • Good experience in humanitarian action and humanitarian principles.
  • Good experience in dealing with and meeting donor policies, procedures, and requirements.
