Welthungerhilfe was established in Turkey in 2013 specifically to help people who are affected by the Syria Crisis. Since then, the organisation has expanded its program scope and scale to make the greatest possible contribution to meeting humanitarian needs in Turkey and North West Syria. Welthungerhilfe has field offices in Azaz and Afrin, as well as Ankara, Istanbul, Hatay and Mardin. The Syria Response program includes food security, WASH services, Shelter and NFI services, protection, early recovery and livelihood.

The position is to be filled by May, 2023, with a contract duration until end of the project. Employment location will be Gaziantep, Turkey. The position is paid according to [[paygrade]].

 

Welthungerhilfe is a private, non-profitmaking, politically independent, and non-denominational organization that supports people living in deprivation and poverty, irrespective of the color of their skin, their religious beliefs, or their worldview. WHH is working in the fields of development cooperation and humanitarian aid, relief aid, rehabilitation, and reconstruction.

 

Welthungerhilfe set up an office in A’zaz and Afrin, Syria in order to start direct implementation of projects in the fields of emergency response humanitarian, and relief aid. Ever since, Welthungerhilfe has distributed food baskets, food & hygiene and agricultural vouchers in the IDP camps in A’zaz, Afrin and planning to expand its operations in Idlib-Al Dana. Welthungerhilfe aims to sustain the humanitarian aid projects and increase the resilience of IDPs in the region.

 

Under the direct supervision of Head of Project and Sen. Project Officer, the project assistant will closely work with the project team to ensure achievements of the deliverables through partners and direct implementation. The project assistant will have essential role with project officers to set the plans, update e-voucher system, verify the BNFs data, check data from the field team, ensure follow up of partners activities and reporting actual vs. targets in addition to carrying out all translation requirements from Turkish into English and vice versa. Project assistant will support the HoP in communication and visibility of WHH in the direct and partners implementation and will finally support in proper documentation (SYR1090, SYR1078) for the projects documents in the PROMIS.

 

Your responsibilities

 

Responsibility # 1:  Support to management and administration (20%)

  • Supporting WHH’s capacity building plans to ensure that they are effective, relevant, and timely
    • Supporting the HOP in organizing review meetings, and sub-award close-out meetings by arranging the time and venue based on the availability of participants, collecting materials and compiling inputs from participants prior to the meeting, making copies, sending invitations, taking minutes of meeting, updating the action points’ tracker.
    • Arranging logistics and administration of program, finance, and compliance monitoring visits at the partner premises, including making ground transport arrangements and arranging meeting venues. Ensure that the monitoring visits reports are signed and filed properly after the visit.

Responsibility # 3 Implementation (60%)

  • Conducting day to day follow-up with the field team.
  • Submit reports in Turkish language on weekly/monthly basis.
  • Draft MoUs in Turkish language.
  • Conduct any translation tasks required in the project (Turkish-English and vice versa)
  • Supporting the management in following up on the status of implementation
  • Participating in the development of implementation work plans
  • Visit the work locations in Syria and ensure reporting about implementation challenges.
  • Visit the work locations in Syria and ensure transferring of activities documents in the main office.

Responsibility # 4 Monitoring and Evaluation (20%)

  • Conducting initial reviews of partners’ deliverables, such as partners monthly IPTT and achievements  to determine if they meet the bare minimum requirements before forwarding deliverables to programs (implementation expert).
  • Review partners activities documentation and ensure that they are aligned to WHH policies and MoVs in the agreements.
  • Supporting the HoP in documenting any lessons learned. Ensuring that lessons learned are disseminated to key stakeholders within WHH and filed properly.
  • Receiving and channeling Feedback received from the partners.
     

Other:

  • Understanding and complying with all of Welthungerhilfe’s policies and procedures (finance, logistics, HR, PSEA policy, Code of Conduct, etc).
  • Supporting the management in development of policy papers, internal regulations

Based on the project needs, the Project Officer may be travel between cities and/or NW Syria requested by the Head of Project.

In addition to the above, the Project Officer might be asked to carry out other duties requested by the Supervisor or Head of Project .

 

Your profile

Required Qualifications:

  • Bachelor’s degree.
  • 3 years minimum experience in a similar role working in communication functions, preferably in an International NGO.
  • Fluency in both Turkish and English, spoken (including translation) and written is essential.
  • Strong computer skills: must be competent in the use of Windows MS office programs (Word, Excel, Power Point, Outlook).
  • Due to urgent needs, applicants should have Turkish citizenship.

Required Qualifications:

  • Proven experience in organizing events, planning actions, quality assurance and other matters related to the project.
  • Cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
  • A strong interest in providing high-quality administrative support to a professional team.
  • Arabic is an asset.
  • Good communicator with strong organizational and time management skills.
  • Attention to detail.
