Job Purpose:

Assist P&C Officer in coordination of department services and functions relating to personnel data administration and maintenance, P&C day to day operations, assistance with recruitment, and orientation processes

 

Major Responsibilities:

P&C Administration and Support

  • Administer local P&C systems
  • Maintain and keep staffing lists for all categories of workforce (employees, service, casual, volunteers, interns, etc)
  • Maintain and keep accurate and updated personnel files, and ensure high level of confidentiality at all times. In collaboration with the P&C department employees, set up and maintain filling system that is complaint with LPPD laws and Local Law.
  • Maintain tracking and recording all P&C related files
  • Follow up and prepare contracts, amendments and annexes for employees, service, casual, volunteers, interns, etc in a timely manner.
  • Keep P&C related templates updated and available for staff.
  • Issuing experience, employments and official letter as requested.
  • Prepare any required P&C data reports.
  • Monitor staff attendance and handle any required process.

Payroll Administration

  • Support in preparing and submitting payrolls for employees, volunteers, and casual workers (Enumerators) ensuring their timesheets are accurate and gathered on a monthly basis.

 

Recruitment, Orientation and Training

  • Support with the recruitment process for full time, freelancers, Intern, etc:
  • Support in advertising the new positions on workday system, local groups and relief web after receiving fully signed PRF
  • Shortlisting the best qualified candidates.
  • Contact candidates for tests and interviews arrangements
  • Schedule and participate in interviews in coordination with the interview panel.
  •  Communicate with the selected candidates to conduct reference checks and proceed with the required recruitment arrangements as per WV policies.
  • Prepare all related hiring documents, forms and contracts and ensure signed documents are properly archived  within P&C files.
  • Provide necessary support in staff recruitment, selection and contracting as needed and participate in panel interviews upon the Line Manager request;
  • Provide assistance in arranging and conducting orientation and induction sessions for new staff;
  • Support in Managing the workday Recruitment Module.
  • Conduct Block party screening when is required.
  • Prepare contracts for Full time, Freelancers, Interns, etc. as needed.
  • Ensure that all full time staff, freelancers, etc. sign on WV partnership policies

Other

•  Responsible for the induction/ orientation arrangements for newly hired employees.

•  Represent WV in an appropriate and professional manner

•  Adhere to WV Child Protection policy and standards and stay committed to WV vision statement and core values;

•  Perform other relevant tasks assigned by the direct supervisor

 

 

Required Professional Experience:

Minimum 1 year of experience in Human Resources and Administration with medium business/medium NGO/government agency.

 

Required Education ,training, license, registration, and certification:

University degree or equivalent in Business Administration, Social Sciences, Psychology or a related field

 

Preferred Knowledge and Qualifications:

1.  Excellent detail-orientation skills;

2.  Good communications skills;

3.  Thorough working knowledge of office systems. Computer aptitude and experience with word processing, database management, and spreadsheet software;

4. Ability to maintain positive relationships with colleagues,

5. Emotional maturity and ability to deal with matters of strict confidentiality;

6. Excellent organizational and planning skills;

7. Excellent knowledge of local labour law and related legislations;

8.Professional certification in HR in locally or internationally recognized HR institutions is a plus;

9. Quick learner, agile, flexible and adaptable;

10. Ability to contribute to the healthy team spirit within the virtual teams;

11. Cross-cultural sensitivity

12. Experience of work in an INGO setting and past exposure with the international working culture and practices is a huge advantage;

 

Travel and/or Work Environment Requirement:

The position requires ability and willingness to travel domestically as needed.

 

Language Requirements:

Fluent in Turkish and English, spoken and written,  Arabic is Preferred
