                                                4 Positions (one each for Sanliurfa, Hatay, Malatya and Adiyaman)

 

Concern Worldwide is a non-governmental, international, humanitarian organization dedicated to the reduction of suffering and working towards the ultimate elimination of extreme poverty in the world’s poorest countries. Concern has been working in Turkey since August 2013 and currently looking for a qualified Logistics Assistant (National Position).

Job Purpose: The Logistics Assistant is responsible for the day-to-day management of Concerns Logistic activities in the designated provinces. Logistics activities are namely but not limited to; support to procurement, warehousing management, which all should be in line with agreed and accepted Concern Logistics practices and procedures.

 

Main Duties and Responsibilities:

Warehouse Management:

  • Liaise with the suppliers truck drivers on arrival times of the trucks to the Concern Warehouse.
  • Liaise with the dedicated program staff member to ensure accurate stock movements from the warehouse to end user, recording any discrepancies and informing the Logistics Manager.
  • Supervise the offloading and stacking of the commodities.
  • Control incoming goods by such methods as physical counts, random check for both quantities and qualities according to purchase specification, rejection of any spoiled goods or not meet purchase condition etc.
  • Be focal point for communication with the warehouse in relation to arrival of materials and release of materials with the programme staff.
  • Maintain accurate records of stock held in the warehouse in accordance with the guidelines in Concern’s Warehouse and Commodity Management Manual.
  • Ensure good condition warehousing practices and maintaining cleanliness of storage and free from pest.
  • Daily update records on stock cards, bin cards, and monthly stock report.
  • Maintain accurate records for all movements of stock, in and out of the warehouse, including required documentation such as Goods Received Notes (GRNs) and Goods Delivered Notes (GDNs). Identify suitable storage and assure that storage facilities are appropriate in size, type and location; ensure that all stores are organized and managed according to Concern logistic requirements;
  • Coordinating with suppliers to assure that inputs are delivered to required locations in correct quality, quantity and condition.
  • Program orders processing including reception of properly filled and approved goods and, goods received notes, documentation of items (including assets).
  • Conduct periodic physical inventory check of all supplies to properly plan re-order in correct quality, quantity and condition.

 

Procurement:

  • Be responsible for a smooth and timely procurement process of all purchased items and services according to Concern Worldwide rules and regulations and in close liaison with all program departments.
  • Ensuring that organizational procedures are followed and Concern gets value for money.
  • Ensure all paper works are properly filed and steps followed through purchasing process are compliant with Concern Procurement procedures.
  • Knows the local market and available suppliers. Selects the best suppliers to request quotes from as per price, quality, and availability, compatibility with existing Concern Worldwide supplies & after sales service.
  • Ensure requests for purchase of goods and services are appropriately signed and filed, quotations process is followed as per Concern policies and procedures, Delegation of Authority is implemented, purchase orders are issued in consultation with Logistics Manager and good / services received notes are appropriately filed.
  • Collet and submit price quotations as per Concerns procurement guidelines as advised by Logistics Officer/ manager and/or requested by the program team.
  • Coordinating with suppliers to assure that inputs are delivered to required locations in correct quality, quantity and condition.
  • Procurement of program supplies required in the field including preparing complete procurement documentation.

Logistics Support:

  • Report all required maintenance/ repairs in the office, warehouse and program centres.
  • Support the Logistics Officer with maintaining and tracking an Asset register.
  • Support the Logistics team with day to day logistics issues in Concern Turkey.
  • Any other tasks as assigned by the relevant Area Manager or Logistics Manager.

 

Accountability

  • Actively promote meaningful community participation and consultation at all stages of the project cycle (planning, implementation, M&E).
  • Work with relevant colleagues to ensure that the Complaints and Response Mechanism (CRM) is functional and accessible, that feedback and complaints are welcomed and addressed.
  • Work with relevant colleagues to ensure that information about CRM, safeguarding and expected staff behaviour is disseminated among programme participants and communities.

Minimum skills and experience

  • At least Bachelor degree in logistics, economics, business administration, social science or related disciplines; or have a minimum of three years’ experience at officer level or higher in humanitarian sector in the following areas: logistics, procurement, fleet management.
  • A minimum of one year of relevant experience with an International NGO.
  • Good English and Turkish language skills (written and spoken).
