Finance -Budget Assistant

Shafak was officially established in 10-10-2013 (registration no. 27-016-129). It was founded during the early months of the Syrian Crisis in 2011. At its core, Shafak is a grassroots NGO that was formed by Syrians for Syrians, with the intent of addressing the needs of their life with dignity, equality and humanity with a focus on sustainability and autonomy. 
Shafak is an impartial, independent, non-profit NGO that exists for the express purpose of providing humanitarian services to vulnerable people regardless of political or religious affiliations and on the long run to contribute to recover and rebuilding the society on freedom, justice and equality basis.

Role Purpose:

The aim of this position is to ensure that Finance / Budget assistant will support in all the activities related to budget management, including, preparing and uploading budgets to system, follow up on spending as per budgets and ensuring that all budget practices in line with the donor regulations and Shafak internal policies.

Reports to; (Finance Coordinator - HQ)
Reporting to: (N/A) 

Key areas of accountability and responsibilities: 

  • Prepare and Upload / enter projects budgets to the system.
  • Monitor budget implementation and advice on reallocation of funds when necessary. 
  • Review travel requests to ensure that expenditures have been correctly charged, and that funds are available.
  • Review employment requests and make budget clearance for them.
  • Open all the required codes (Class, Project Code, Donor Code, etc…) on the system related to new projects
  • Review capital expenditure requests to ensure that expenditures have been correctly charged, and that funds are available.
  • Review budget performances of projects, analyze budgeted versus actual expenditures. 
  • Prepare monthly and quarterly financial management reports as per the requests of line and Finance Manager. 
  • Liaise with and provide support to project managers regarding project budgets, expenditures and financial reporting.
  • Review budget amounts in Financial System. 
  • Analyze designated GL accounts. 
  • Monitor grant revenue recognition and compute overhead recovery on a monthly basis.
  • Prepare other financial reports as needed to meet SHAFAK requirements.
  • Coordinating with Budget Holders to solve Budget problems
  • Supporting Finance members to facilitate their tasks and simplify the procedures of monthly closing. 
  • Carry out other duties as assigned by the Line and Finance Manager.

Required Qualifications, Experience and Attributes

  • University degree (Bachelor’s or equivalent) in accounting, business administration or finance.
  • A desire to learn and work in a challenging but rewarding environment
  • Ability to work under pressure alone and as part of a team
  • A strong sense of integrity, and responsibility.
  • Attention to detail
  • Excellent working knowledge of Excel
  • Ability to work under pressure
  • Strong interpersonal and communication skills.
  • Excellent command of spoken and written English.
  • Familiar with using QuickBooks software.

Desirable

  • Experience in budget management for one year will be an advantage.
