The Executive Support Officer  is responsible for providing executive and program support to the CARE Turkey Country Director and the CARE Turkey Core Team. S/he manages works directly with the CD to develop program documents and presentations required for internal and external sharing, monitors and updates the CD on external events, organizes Core Team meetings and minutes, calendars and special events, and faciliates overall CD support. The Executive Support Officer  also plays a key role in supporting the CARE Turkey Core Team, organizes meetings and special sessions with all CO staff, leads on development communications for CT/Staff engageegment and acts as a interlocuter of inforamtion when/if required. S/he ensures that support requirements for CD and Core Team are carried out efficiently and activities follow CARE’s established operating policies, procedures and standards.  S/he provides executive assistance to the CD and for effective functioning of the Core Team.  S/he must strong command of written program documents, communication skills, and demonstrate the adoption of efficient and cost-effective methods; and must have a strong customer service focus.

 

RESPONSIBILITIES

Job Responsibility #1 Provide Executive Support to the CT-CO County Director (CD)  % 25 of time

  • Develops program/presentation documentation as needed by CD
  • Support internal communication as needed with the Regional Management Unit (RMU), other departments and Country Offices and Field Offices, including CARE Syria, demonstrating leadership to maintain credibility, trust and support with senior management.
  • Completes a broad variety of administrative tasks for the CD including: supporting the preparation of Travel Expense Reports, Personal Activity Reports, expense reports, composing and preparing correspondence, arranging travel plans, itineraries and agendas;
  •  Support the CD in timely arrangement and documentation of annual performance planning processes (Annual Performance Agreement and Assessment);
  •  Drafts, edits and reviews official correspondence, such as Memoranda of Understanding (MoU), Terms of Reference (ToR), activity reports, etc.

Job Responsibility #2  % 20 of time

  • Support the preparation of Core Team (CT) meeting agendas, attend and prepare the meeting minutes for sharing with CT members;
  • Follow up with individual CT action points;
  • Assist the CT in documentation and communication for Headquarters (HQ: and RMU);
  • Maintenance of files on key topics discussed and agreed upon by the CT as required;

Job Responsibility #3  % 20 of time 

  • Support editing and layout of reports and communication documents where requested.
  • Preparation of internal reports to RMU and HQ; including support to collating information for Sitreps and other updates.
  • Translate program documents from Arabic to English and English to Arabic when needed for external or internal use.
  • Organises and files internal documentation and communication materials.

 

Job Responsibility #4 % 20 of time

  • Reviews Newsletters and develops communication materials for the CO, such as Annual Reports.
  • Develops, in collaboration with communication team members, internal and external communications for wider sharing.
  • Conducting specific research requested by the CD.
  • Drafts talking points and speeches as/when needed.

 

Job Responsibility #5  % 15 of time

  • Organizes key CO events and visitor meetings;
  • Support in the arrangement of meetings and events on behalf of the CD, where needed in collaboration with the admin and other teams
  • Other projects and tasks as required.

 

QUALIFICATIONS

 

Required

Bachelor’s Degree in Administration/Business Management, Social Studies;

Minimum professional experience of 2-3 years in the management of administrative procedures, of which at least 2 in International NGO or an international organization;

Fluent in written and spoken English and Arabic;  (Turkish Desirable)

Should be proficient in computer use and its applications.

Excellent interpersonal skills;

Good communication skills;

Planning, organizing and problem-solving;

Excellent analytical skills;

Ability to work under-pressure and respond positively to feedback;

Ability to work in a diverse cross culture team;

Coordination abilities;

 

Experience

Required

Minimum professional experience of 2-3 years in the management of administrative procedures, of which at least 2 in International NGO or an international organization

 

This position will be based in Gaziantep, Turkey and may require travelling to CARE’s Offices when there is a need.
